China Sourcing for Small Importers: A Practical First-Order Plan
BSHINE LLC editorial desk. Updated 2026-11-02.
Start with a purchasing decision, not a supplier list
A small importer rarely needs the largest possible list of factories. The useful question is which supplier can meet a defined specification, quantity and delivery requirement at a workable total cost. A low unit price can become expensive when sample revisions, packaging changes or destination requirements are discovered late.
Write a brief suppliers can answer
Describe the material, dimensions, finish, intended use, quantity by SKU and acceptable variations. Include photographs or drawings only when you have permission to share them. Identify which requirements are mandatory and which can be discussed. A supplier cannot price an unspecified level of quality consistently.
State the delivery country, target timing, budget currency and whether that budget includes freight, service fees and import charges. For a pilot order, ask separately about sample cost, production minimums and repeat-order terms. A minimum order that is too high for the first purchase may still be workable for later replenishment; do not assume a supplier's advertised minimum is an accepted exception.
Approve samples and the commercial basis separately
A satisfactory sample is evidence about that sample. Confirm whether production will use the same materials, packaging and specification. Record approved changes and the consequence of substitutions before paying for production. Agree what happens if an item fails the agreed checks, rather than treating an inspection as an automatic refund promise.
Use a staged first order
Clarify the specification and destination requirements.
Compare written offers on the same cost basis.
Approve samples or document why a sample is not required.
Agree production, checking and packing instructions.
Confirm the seller, payee, shipment arrangements and responsibilities.
When is sourcing assistance useful?
Coordination can help when supplier replies need clarification, several SKUs must be compared or sample and order communication becomes difficult. It does not replace a customs broker, product-safety specialist or independent laboratory where those are needed. Ask the service provider to define deliverables and fees before work starts.
